Everyone who works in Nohead is a member of an organization, with one role that applies to all of its projects. The organization’s Members page lists them, and every member can see it, to know whom to ask for access. Members, invitations and roles are managed in the web app only: API keys can’t manage them.

Roles

Each role can do everything the role below it can, and more: The web app shows each member only what their role can use. Viewers and editors see a project’s Collections and Assets; developers also see API keys, Search tokens and Webhooks; admins and owners also see the project’s Settings and the organization’s Activity, Usage and Settings. A page opened by its URL without the role says whom to ask. An API key never gets more than the role of the person who creates it: a developer can’t give a key the audit:read scope, since developers can’t read the activity log. See API keys.

Invite someone

Admins and owners invite people on the Members page: choose Invite, enter their Email, pick a Role and choose Send invitation. Admins can invite every role but Owner; owners can invite owners too. They get an email, and join by signing in to the web app with that address: the invitation shows at the top of the page, with Accept and Decline. Invitations expire after 14 days.
  • Pending invitations lists the invitations not yet accepted, declined or revoked, with who sent each. Revoke cancels one: the link in the email stops working, and you can invite them again later. An expired invitation shows Expired; inviting the address again replaces it.
  • When the email doesn’t arrive, the invitation says so: Email bounced (check the address, then revoke and invite again), Marked as spam or Email not sent. In the last two cases they can still join by signing in with the address.
  • An address can have one pending invitation per organization, and someone who is already a member can’t be invited.
  • Pending invitations count toward the plan’s member limit. At the limit, the Invite dialog says so instead: remove a member, revoke an invitation or upgrade. See Plans and usage.

Change a role or remove a member

On the Members page, admins and owners change a member’s role in the Role list of their row, and remove them with Remove, then Remove member. Anyone can leave an organization with Leave on their own row.
  • Only owners touch owners. Granting the owner role, and changing or removing an owner, takes an owner.
  • There is always an owner. The last owner can’t be removed, leave, or be given another role: make another member an owner first.
  • A role change applies at once, in every project and in the web app.
  • Removing a member ends their access to the organization’s projects. Their changes stay in history under their name.

Review the access people leave behind

API keys belong to projects, not to the people who created them, so they keep working when their creator leaves or changes role, and nothing breaks unannounced. The same goes for invitations someone sent before they left. When there is something to review, the Members page shows admins and owners Access to review:
  • API keys whose creator left the organization, or whose creator’s role can no longer grant the key’s scopes.
  • Pending invitations sent by someone who left, or who can no longer invite.
Revoke one at a time, or Revoke all. Revoked keys stop working at once, and revoked invitations can’t be accepted. Revoking can’t be undone, so check that no site or job still uses a key, or replace it first. Changes to members and invitations are recorded in the organization’s activity log.
